The success of your next golf tournament
The success of a golf tournament is directly related to its preparation. In order to help you organize your event we have prepared the following check list. The first step in organizing a golf tournament is to secure a date. As soon as a date is confirmed, you can go through the following steps:
1. After inquiring about the club's rates, rules and policies, sign the contract prepared for you and confirm your reservation with a deposit.
2. Set the type of tournament you wish to organize:
- Determine the minimum and maximum number of participants for the golf, the brunch and the dinner as well as the number of carts required.
- According to the number of people for the golf, establish the starting time method: shot-gun, cross-over or continuous.
- Determine the type of play: individual game, Las Vegas, etc...
- Make sure you know the club's rules with regards to the dress code and exterior sponsoring.
- Inquire about the club's fees and payment policies.
3. If you wish to organize activities and/or competitions during your tournament:
- Select the activities and the competitions.
- Determine where the activities and/or competitions will take place.
- Make sure you have the technical support required for the installation of your posters and signs for the activities and/or competitions and also to welcome your guests at the inscription table.
- Plan in advance on how the results will be tabulated in order to determine the winners for the golf as well as for your other activities.
- Tie braker procedures should also be pre-determined.
4. Established the type of reception you wish to offer your guests.
- Choose the menus for the brunch and for the dinner.
- Select the wine.
- Establish a floor plan of the banquet hall.
- Decide if you wish to assign the tables.
- Set up the activities for the evening (music, entertainment, special presentations...).
5. The sale of your tournament:
- Set the price per ticket.
- Have your ticket printed. They should include all the information your guests might need: price, date, time of brunch, golf, cocktail and dinner, the club's name, address and phone number. We suggest that you have directions on how to get to the club printed on the back of the ticket. Your tickets should be numbered and may require detachable sections.
- Put in place a sales committee.
- Designate an honorary President.
- If required, insure media coverage.
6. Other important points:
- Find gifts anr/or prizes, if required.
- Send all your guests their tickets, the schedule for the day, their starting time, the club's dress code and policies.
- Send the club a list of your participants, starting time and/or a list of the hole each guest will start on.
- Confirm with the club, at least two weeks in advance, the number of golfers and dinner guests. Go over your check list to make sure nothing has been forgotten.
- Prepare in advance the score cards for your guests.
- You might want to plan for a gift to be given to your guests at the registration table.
